Marketing meetings are an essential part of any business, as they allow key stakeholders to have conversations about upcoming campaigns, brainstorm ideas, and decide where the company is headed in the future. Sometimes, however, meetings can run longer than usual, miss their mark on business objectives, and even be not engaging enough for its participants. This results in not only wasted time, but also wasted resources that could have otherwise been used for other important company needs.

Plan ahead of time

One of the simplest ways to ensure an effective marketing meeting is to plan ahead of time. This means deciding the time and date for the event, letting all participants know the venue, as well as briefing others about the meeting’s objectives. 

Invite the key stakeholders

Don’t forget to invite the key participants whose presence are integral to the meeting itself. These invitations can be in the form of email reminders as the meeting time approaches as well. Automation tools may also be used to make reminding others easier. 

Create an agenda

Make sure that in each meeting, an agenda is passed around. This ensures that everyone is on the same page in terms of discussion topics. Having an agenda also helps with organizing the conversation in such a way that the meeting goal will be met by the end of the discussion.

Appoint a host

This goes hand-in-hand with being able to communicate effectively with the participants of a meeting. Foster good attendance by using automation tools to notify individuals about their upcoming events ahead of time. Inform others that their presence is a key part of the meeting as well.

When it comes to virtual meetings, talking to an icon isn’t the best way to foster friendlier and better communication skills. Instead, encourage participants to turn on their web cameras so that they can see each other’s faces. Individuals are able to connect better with each other by putting a face to a name. 

Discourage multitasking

Although it may seem tempting to multitask while attending a virtual meeting, doing so can lead to a lack of focus on the subject at hand. Therefore, before any meeting, turn off any distracting applications that may hinder participation. If necessary, then don’t forget to log out of social media platforms. 

Use the mute button

When it’s not a certain participant’s time to contribute to the marketing meeting, ensure that they know how to mute themselves. This prevents any extra background noise to be present, leading to a more professional meeting where everyone can be heard clearly.
